Clear answers on how flowtify works, how it is rolled out, and how it fits your organization.
What matters before you decide
The questions below cover everything that matters when evaluating flowtify: what the platform does, how the modules HACCP, SENSORS, AUDIT, and SUPERVISION work, how rollout runs, and how your data is protected. And if your question is not covered, we are happy to answer it in person.
Frequently asked questions
flowtify is a B2B software platform for digital quality assurance in food service, hospitality, and retail. It digitizes HACCP self-monitoring, temperature monitoring, audits, and cross-organization supervision on one shared platform.
flowtify is built for multi-location operators such as restaurant groups, contract caterers, hotel chains, food retailers, and franchise systems. Single-site operations use the same platform and grow into multi-site structures without changing systems.
flowtify consists of four modules on one platform: flowtify HACCP for digital self-monitoring, flowtify SENSORS for automated temperature monitoring, flowtify AUDIT for structured audits, and flowtify SUPERVISION for collaboration across independent organizations. All modules share the same data logic and work together.

No. flowtify provides the framework, not the content: whether goods receipt, temperature checks, or cleaning plans, your organization defines what is checked, at what frequency, and by whom. Template libraries built on more than ten years of practice are available if you do not want to start from zero.

HACCP is an internationally recognized approach, rooted in the Codex Alimentarius, for controlling food safety hazards through documented, hazard-based self-monitoring. Regulators worldwide require both the system and its documentation: in the EU, Regulation 852/2004 obliges food businesses to run procedures based on HACCP principles; in the US, the FDA requires hazard-based preventive controls under the Food Safety Modernization Act (FSMA), with mandatory HACCP for sectors such as seafood and juice, while USDA FSIS mandates HACCP for meat and poultry establishments. The common principle is the same everywhere: what is not documented counts as not done, with legal consequences. flowtify keeps this documentation audit-proof regardless of the jurisdiction you operate in.

flowtify can escalate across up to four levels. Once a deadline passes, the next role in your hierarchy is notified by email, from the area manager up to the head office. At the final level, the entry can be closed to further processing on site, and it stays in the documentation with its last status, visible in external inspections.
In practice, managers save around 40 to 60 percent of their time on legal and internal operational checks with flowtify HACCP. Staff document actions directly in the app instead of on paper.
Largely, yes. Manual checks only cover single moments, while sensors record temperatures continuously, around the clock. Deviations are detected and assessed immediately, and records are kept seamlessly.
flowtify recommends LoRaWAN hardware from Milesight: robust IP67 housings with food-grade materials, battery life of up to five years, and gateways with LAN, WLAN, and LTE connectivity. On request, devices arrive fully preconfigured.

Yes. flowtify has connected large multi-site networks with existing sensor infrastructure, often across multiple countries, and has integrated various leading sensor systems over the years.
Responsible staff are alerted immediately via push notification, email, and the flowtify dashboard, optionally with clear follow-up instructions. The incident is assessed as an event and linked to a documented corrective action, if needed with photo evidence, and tracked until resolved. If it is not resolved in time, flowtify can escalate to the next role in your hierarchy, up to four levels. This is the corrective and preventive action loop (CAPA) in daily operations, and everything remains traceable.
Any structured inspection area: food safety, workplace safety, supplier audits, or internal QA checks. Your organization defines what is checked, how it is scored, and who follows up.

A small team of four to five auditors can cover several hundred locations. The company-wide question catalogue is created once, and standard smartphones or tablets are enough in the field.
Yes. KO criteria, tiered point systems, smiley scales, or simple yes and no checks: scoring logic, thresholds, and notification pathways reflect what applies in your organization.
Yes. From internal self-assessments by store leads to external certification audits, every role works in the same system, and results stay comparable across locations and audit cycles.
Yes. Findings are converted into corrective actions with responsibilities and deadlines, tracked until resolved, and documented audit-proof. Preventive actions can be derived from recurring findings across locations, covering the CAPA principle (corrective and preventive action) in daily operations.
flowtify SUPERVISION adds a collaboration layer between independent organizations. Each account remains a clearly separated unit with its own data ownership, while defined content can be shared in a structured way.

Permissions are controlled through role-based access, from a single location up to an entire company: the franchisor sees exactly what is needed for shared standards, no more. Responsibility and data ownership remain anchored in the operator's own account.
Yes. External auditors, certification bodies, or consultants get targeted access to the locations, audits, or results relevant to them, without becoming part of the operational structure.
Rollout speed depends on structure, not size. In retail, networks of more than 1,000 locations have gone live within a few weeks. Preconfigured hardware and template libraries shorten the path further.

flowtify is priced modularly, based on the selected modules and the number of locations. The exact scope is defined in a short consultation so that pricing matches your setup and rollout plan.
Yes. In the flowtify HACCP app, checklists and documentation functions remain available for up to 48 hours without an internet connection, and completed tasks are synchronized automatically once the connection is reestablished. In flowtify AUDIT, audits loaded onto the mobile device can be conducted entirely offline, including photos and assessments.
The same loop runs across all operational modules. An irregularity is detected, by a staff member in flowtify HACCP, by a reading in flowtify SENSORS, or by an auditor in flowtify AUDIT. It is assigned to a responsible person with a deadline, tracked until resolved, and documented audit-proof. In flowtify HACCP and SENSORS, a missed deadline can trigger a configurable escalation up your hierarchy. In flowtify AUDIT, each finding can be routed to its own owner and deadline. Recurring issues across locations surface preventive action. Each capability requires the respective module.

flowtify is used daily in more than 15 countries. Multi-country site networks run on the same platform and catalog logic, and the audit-proof documentation has proven itself in official inspections and external audits.
Yes. flowtify records checks and sensor data mobile, tamper-proof, and with timestamps, producing audit-proof documentation. Regulations, guidelines, and your HACCP concept can be stored in the app, and continuous sensor records feed into the same audit-proof documentation as manual checks.
Yes. All customer data is stored and processed on Microsoft Azure in the Germany West Central region (Frankfurt am Main), regardless of where your teams work. The infrastructure is certified to ISO 27001, ISO 27017, ISO 27018, SOC 2 Type II, and BSI C5. A data processing agreement under Art. 28 GDPR and technical and organizational measures (TOMs) are available.

No. Every entry is recorded with a timestamp and cannot be manipulated afterwards. Corrections are logged as new, traceable entries, which keeps the documentation audit-proof for authorities and certification audits.

Operational records in your flowtify account are retained for two years by default; older data is deleted automatically, and all data is deleted when the contract ends. The retention period can be extended to individual timeframes as a paid option. Retention details, including subprocessors and their backup cycles, are governed by the data processing agreement (DPA).
Data is encrypted at rest and protected in transit with TLS 1.2 or higher; the mobile apps additionally use SSL pinning. This protects quality data on the way from every site to the platform.
Snapshots are created every six hours, plus daily geo-redundant backups stored more than 200 kilometers apart, exclusively in EU data centers.
The measured availability is 99.97 percent. Contractually, flowtify guarantees a system availability of 98.5 percent on annual average, including maintenance; the platform is available for use 24 hours a day, 365 days a year.
